Suitecrm inbound email settings setup

SuiteCRM is popular CRM application. It is currently very popular alternative for paid CRM application like salesforce, dynamics, SugarCRM and many more. It is growing its features day by day. There are many features in this application which is useful to small to mid level organizations. In this post we are going to discuss about SuiteCRM Inbound Email feature.

To setup SuiteCRM Inbound Email, the process is divided in two phase. First phase is you have to make IMAP enabled in your email account. Once you enable IMAP option then we can go to second phase which is to add that email address into SuiteCRM email module.

Phase-1 : Enable IMAP in Email Account:

We are taking Gmail Email account and we will enable IMAP in Gmail email Account. Please do as following:

  1. Sign in to Gmail.
  2. Click the gear in the top right Gmail Gear Image.
  3. Select Settings.
  4. Click Forwarding and POP/IMAP.
  5. Select Enable IMAP.
  6. Click Save Changes.

This will Enable IMAP service in your Email Account. Each email service provider will have somewhat similar process. You will have to check in their manual or ask the technical support to do that. Now we have IMAP enable we can move to Phase-2.

Phase-2: Add SuiteCRM Inbound Email Address

Step-1:

The Email tab is typically located on the navigation bar at the top of any SuiteCRM screen after selecting “Email” from the admin screen. Click the tab to access the Inbound Email list view.

Step-2:

Click on “Settings” button on top left after navigation bar to start creating settings of inbound email.

Step-3:

As seen popup bar of settings on screen and in that select “Mail Account” tab and click on “Add” to add to settings up Email details.

Step-4:

As shown in figure, In this step fill up the details of Incoming Email as User’s Mail Account Name, User Name, Password and click on “Prefill Gmail Defaults” to filling other details and at last final step is to  click on “Done“.

It will ask you to set up trash folder. To do that you have to click on browse button beside Trash folder textbox. If you have given proper username and password it will verify and list all the folders of your email account. You can choose trash folder from there.
If you do not see any folder in popup there must be something wrong with the credentials. Retype them and try again.

Once you have set up the inbound email account it will automatically start fetching emails from your original email account. You can change refresh rate of that in settings. You will be able to send outbound email using this Suitecrm Inbound Email as well.
